My Visit

There are several ways to request an appointment:

  • Patient self-scheduling is coming soon.
  • Log in to your Patient Portal account and select “Appointments.”
  • Call your provider’s office to speak with a member of our team. Find the desired phone number by searching for your provider’s name here.

Our Internet-based Patient Portal simplifies communication with your provider and eliminates time-consuming phone calls to the practice. Whether you want to schedule an appointment or review your latest test results, the Patient Portal delivers the information you need in a convenient, easy-to-use Patient Portal. The Patient Portal is a secure, confidential, and easy- to-use website that gives patients and their families 24-hour access to their medical records. It uses the latest encryption technology to deliver secure communication between patients and providers.  By signing up and enrolling with the Patient Portal, you will be able to:

  • Correspond online with your provider and practice
  • Request appointments and receive appointment reminders
  • Access important health information from your medical record including: medications, immunizations, and test results
  • View medication list and request prescription refills
  • Obtain educational information
  • Maintain account information including user name, password, access privileges, and email address
  • We've worked hard to bring you a completely new, user-friendly interface designed to make it easier for you to navigate.
  • Now you can see a consolidated view of upcoming appointments, reminders, labs, and medications.

You can sign up and register for the Patient Portal by giving your provider your name and email address. In turn, your provider will give you an instruction sheet that includes a temporary username and password. The temporary credentials will allow you to log in to the system and create your own private username and password. Sign up today.

Capital Women’s Care welcomes new and returning patients. Our staff is committed to ensuring that the administrative aspects of your visit are handled with the same high level of professionalism and care as the medical portion.

Please arrive promptly and allow 15 minutes to update/complete the required paperwork.

You must bring your insurance card and driver's license (or other legal picture id).

New patients will need to complete medical history, registration, and HIPAA forms; all patients will need to complete the registration form.

Emergencies: Obstetrics and Gynecology often involves emergency procedures, surgical delays, and deliveries. We ask for your understanding, and if we are running behind schedule, our staff may attempt to notify you.

Cancellations: We also request that you arrive promptly for your visit. If you are unable to keep your appointment or are going to be late, please call the office as soon as possible. Cancellations without 24 hours notice or missed appointments may be subject to fees.

Your provider may have additional guidelines regarding cancellation. Please find your provider’s office here.

If you have insurance, please bring a copy of your insurance card to each visit. We will submit the claim to the insurance company on your behalf, but please be prepared to pay your co-pay and any deductible on the day your visit.  After we receive payment from your insurance carrier, any additional amount determined by your insurance company to be your responsibility will be billed to you.

Lab results are obtained via our Patient Portal.

Federal and State law requires the patient's signature, or that of an authorized personal representative, to release or transfer medical records. The patient records are defined as all records that relate to the health of the patient and are prepared by or under supervision of a health care provider associated with Capital Women's Care. We maintain the patient's rights that all medical records are kept confidential according to all federal and state laws.

Please note that in some cases, a fee will be charged for medical record copies. The medical record department will be happy to provide you with information about fees, expected turnaround times and other information related to your request.

Patients that provide records from another physician, outside of CWC, are encouraged to retain their own copy as Capital Women's Care cannot provide a copy.

Billing & Payments

Capital Women’s Care makes it easy for patients to pay for medical care by offering secure, online bill payment through our patient portal. It’s very easy to set up a portal account.

If you have questions regarding your bill, please contact our billing company, NextGen Revenue Cycle Management, they can be reached at 800-529-3489.

The cost for your visit will be determined, based on the specifics of the care and services provided. Your insurance carrier may pay for all or part of the care provided, however you are primarily responsible and ultimately for payment on all the services you receive.

Insurance

Capital Women's Care participates with most major insurance plans. If you do not see your plan listed below, you may be able to see a Capital Women's Care physician using your out-of-network benefits.

It is important to bring your current insurance card to every office visit.  Copayments are due at the time of service. If required by your insurance plan, bring your referral from your Primary Care Physician.

You may be responsible for the portion of your charges not covered by your insurance policy.

You can view which insurance your provider participates in, by calling your provider’s office or viewing their insurance list on your provider’s division page.

Some of our divisions accept patients without insurance. Please call your provider’s office prior to your visit and let them know why you are coming in; they can ESTIMATE the cost of your visit. We cannot guarantee any fees until after you have had your appointment. Payment is expected at the time of service.

These terms refer to the balance your insurance states as your responsibility, per the insurance contract you renew each year.

  • Deductibles are paid by the member and must be reached each year before insurance pays any of your cost. Each family member usually has a separate deductible.
  • Co-Payments are smaller amounts paid by the member, each time you visit the doctor or use any medical service.
  • Co-insurance requires you to pay a percentage of your visit fee.
  • Maximum out-of-pocket expense is the most you will have to pay before your insurance begins to pay 100%.

We understand that there will be instances where you have a quick question for your doctor that may not warrant a visit. Our providers and office staff are here to answer your questions and to provide guidance related to your specific care plan. To ask a question, you may contact your provider’s office via phone or online through the Patient Portal. To find the correct phone number, please search for your provider here.

Capital Women’s Care is comprised of multiple locations throughout the mid-Atlantic area and office hours may vary depending on where you wish to be seen. Please search for your provider’s office’ here to find specific hours of operation related to your desired location. Note that occasionally these hours are subject to change.

Prescription refills will be processed only for established patients who have been seen within the past 12 months. Your physician will review your chart and the refill will be called in directly to your pharmacy, within 24 hours of receipt, on the next business day. If your physician feels an office visit is necessary before a refill can be given, you will be notified by phone. One additional month of refill birth control pills can be called in for established patients. This will allow time to schedule an annual visit. COVID-19 Information

Have you traveled outside of the continental United States in the last 30 days?

Have you had close contact with a confirmed case of COVID-19?

Do you have a fever, cough or other signs of pneumonia/lower respiratory tract disease such as difficulty breathing, chest pain or shortness of breath?

If you answer yes to any of these questions, please call your office before you arrive.

We have an alternative appointment option we can offer to help with current social distancing recommendations related to COVID-19. Instead of an appointment in the office for the provider to address your concern, we can schedule a virtual visit where the provider will connect with you through audio/video on your computer or smartphone.
